Professional services

# Less chasing documents. More time for the work of your practice.

A case moves forward when the right information arrives. We connect email, folders and practice software to make missing steps visible and prepare work for the professional.

CUSTOM BUILT · ONGOING CARE

An example to adapt to your work. We consider SMEs across all sectors, in Italy and Europe.

ILLUSTRATIVE EXAMPLE

## From an enquiry to a file ready for review

A client requests a service, then adds documents across several emails. Your team needs to identify the right case and work out what is still missing.

1. ### Identify the case

The request is linked to a verified client and case reference. Matching names or several open engagements trigger a choice for your team.

2. ### Prepare a checklist

We compare received documents with the checklist for that engagement. The presence of an attachment does not automatically mean its contents are correct or complete.

3. ### Move the work forward

An administrator approves the missing-document reminder and assigns the case. The reviewer can find the sources, status and next task together.

This workflow describes a possible project, not a customer case study or a result already achieved.

WHAT WE START WITH

## The things to establish first.

- Engagement types and document checklists approved by the practice.
- Folder access rules and references used by your practice software.
- Anonymised examples of complete, incomplete and ambiguous requests.

YOUR TEAM STAYS IN CONTROL

### Decisions have an owner.

Professional opinions, legal or tax interpretation and substantive deadlines remain with the professional.

Recipients, relevant attachments and permissions are checked before documents are shared.

THE FIRST SCOPE

## A workflow we can verify.

One engagement type and one shared inbox. We validate file preparation before enabling any automatic reminders.

### What we measure together

- Time spent collecting documents.
- Cases waiting without an assigned next action.

AFTER LAUNCH

## The work continues. So does the care.

Ongoing care covers connections, checklist updates, reminder reviews and blocked cases. We train administrators to handle exceptions and maintain the rules with the person responsible in your practice.

WHEN AN EARLIER STEP MATTERS

If every engagement needs entirely different documents, start with organising enquiries. Automating a checklist that changes daily would add maintenance.

## Before we start.

**Do we need new practice software?**

We first check APIs, exports and permissions in your existing tools. If a reliable connection is unavailable, we agree an assisted handover instead of promising a fragile integration.

**Does AI read every case?**

No. We define the documents, access and purposes required. Many steps work with simple rules; any AI use depends on the content and agreed data-processing arrangements.

## Which step would you like to make easier?

A description and a contact address are enough. You can add tools, volumes and constraints in the form if you wish.
